Why an automation says “Needs setup”

What the label means, which automations show it, and how to clear it.

Needs setup on an automation card means Leysa has checked your Microsoft 365 connection and found that this particular job would be refused if you ran it. Rather than let you fill in a form and watch it fail, it tells you before you start.

It almost always means one of the two directory roles is missing.

Clearing it

Go to Integrations → Microsoft 365. The connection panel shows a tick or a warning for Exchange Administrator and Authentication Administrator. Assign whichever is missing. Step 3 of Connect Microsoft 365 shows how.

Once the role is assigned, the label clears itself. Leysa re-checks in the background, so it can take up to a minute to disappear from the catalogue.

Which automations are affected

Anything that touches a mailbox needs Exchange Administrator: shared mailboxes, distribution lists, mailbox access, forwarding, email aliases, rooms and resources.

Anything that touches sign-in needs Authentication Administrator: Reset Password, Reset MFA, and creating, disabling or restoring accounts.

Two are mixed. Onboard Employee and Offboard Employee each have one step that needs Exchange. The rest of the automation runs without it, so the step is where you'll see the problem rather than the whole run.

Out of Office is not affected, despite sounding like it should be. It uses a different part of Microsoft 365 that ordinary consent already covers.

If the label is wrong

If a role is definitely assigned and the label won't clear, the usual cause is Microsoft still applying the change. Click Re-check on the Microsoft 365 page.

If it persists beyond a few minutes, tell us what the page shows. That's a fault worth knowing about, not something you should have to work around.
